Terms & Conditions of Trading

1. Introduction & Our Role

1.1 KB Cars Reading a company registered in England and Wales (Company number 16897274) is a licensed Private Hire Operator (Reading Borough Council Licence).

1.2 When you book a vehicle with us, we accept the booking as a Principal. This means we are legally responsible for providing the journey and have a direct contract with you, the passenger.

1.3 By placing a booking via telephone, website, or app, you agree to be bound by these Terms and Conditions.

2. Pricing, Fees & Meet and Greet

2.1 Meet & Greet Service: Available at UK airports and major train stations. A driver will meet passengers in the arrivals hall or a pre-agreed location with a name board. This service carries a small additional fee, which is included in your booking total.

2.2 Incidental Expenses: Quoted fares typically exclude parking fees (e.g., airport drop-off/pickup zones), road tolls, and congestion charges unless explicitly stated.

2.3 Soiling Charge: In line with Reading Borough Council recommendations, we reserve the right to apply a cleaning fee (typically £70.00 for internal and £25.00 for external). Payable immediately to the driver.

3. Cancellations & No-Shows

3.1 No-Show Policy: If a passenger fails to arrive after the grace period and cannot be contacted, the booking may be treated as a "No-Show."

  • More than 24 hours before pick-up: No charge.
  • 12–24 hours before pick-up: Up to 50% of the fare.
  • 3–12 hours before pick-up: Up to 75% of the fare.
  • Less than 3 hours before pick-up: Full fare may be charged.

4. Waiting Time & Grace Periods

4.1 Standard Pickups: 5-minute grace period. Beyond this, waiting time is charged in 15-minute increments.

4.2 Airport Pickups: 45 minutes of free waiting time from actual flight arrival.

5. Passenger Safety & Conduct

5.1 Passenger Limits: No vehicle shall carry more passengers than it is licensed for.

5.2 Luggage: It is the Hirer’s responsibility to ensure the vehicle booked is suitable for the luggage amount.

5.3 Conduct: We reserve the right to terminate a journey if a passenger behaves abusively.

Privacy Policy

1. Introduction

KB Cars Reading is committed to protecting your personal data. We are the "Data Controller" for your information.

2. Information We Collect

  • Contact Details: Name, phone number, and email.
  • Booking Details: Pickup/destination, date, and time.
  • Payment Data: Transaction details (we do not store full card numbers).
  • Safety Data: CCTV or Dashcam footage may be recorded in our vehicles.

3. Lawful Basis for Processing

We process data for Contractual Necessity, Legal Obligation (Section 56 of the Local Government Act 1976), and Legitimate Interests.

4. Data Retention

  • Booking Records: Minimum of 12 months (RBC conditions).
  • Financial Records: 6 years (HMRC requirements).
  • CCTV: Typically overwritten within 31 days.

5. Your Rights

Under UK GDPR, you have the right to request access to your data, correction of information, or deletion (where legal obligations allow).
